Duplicate account (CRM)

Two CRM records for the same customer, splitting the history and skewing every analysis.

Definition

A duplicate account exists when the same customer appears under two or more CRM records, often created at different times or from different sources (import, form, manual entry). Activities, contacts and deals then spread across the records, and none of them tells the customer's full story.

Why it matters

For a Customer Success Manager, a duplicate skews the health score: half the signals live on the other record. For an Account Manager, it skews tracked revenue and can make you miss a renewal attached to the wrong record. And a careless automatic merge is worse than the duplicate: it destroys data with no way back.

How Phano helps you

Phano detects likely duplicates by cross-referencing names and domains, then submits them to you in a validation queue: you confirm, keep separate or dismiss each pair. Every decision is audited and nothing is merged automatically, or rewritten in your CRM.

Frequently asked questions

What is Duplicate account (CRM)?

A duplicate account exists when the same customer appears under two or more CRM records, often created at different times or from different sources (import, form, manual entry). Activities, contacts and deals then spread across the records, and none of them tells the customer's full story.

Why does Duplicate account (CRM) matter?

For a Customer Success Manager, a duplicate skews the health score: half the signals live on the other record. For an Account Manager, it skews tracked revenue and can make you miss a renewal attached to the wrong record. And a careless automatic merge is worse than the duplicate: it destroys data with no way back.

Why are duplicate accounts a problem in Customer Success?

Because they split one customer's history, contacts and signals across several records: each record looks less active than it is, the health score is computed on half the reality, and tracked revenue can be counted twice or by half.
