To protect your mailbox and keep the focus on your customers, Phano only captures emails exchanged with a customer account. Everything else (newsletters, vendors, internal threads) is never stored or analyzed. Two cases trigger capture: the contact business domain matches a customer account, or their exact address belongs to a contact linked to a customer account (useful for generic addresses like gmail.com). An email tied to no customer account never enters the composite pipeline, and as soon as a new customer is added, their past exchanges are imported automatically.
